CRM setup

Every lead in one place, with a reminder when it is time to follow up.

  1. An enquiry arrives

From your form, a call or a message.

  2. It is saved with the details

Name, contact, what they asked for and when.

  3. You see where it stands

New, replied, quoted, booked or lost.

  4. A reminder is set

When a follow-up is due, you are told.

  5. The job is closed off

Won or lost, with a note on why.

What it is, in plain words

A CRM is a customer record: one list of everyone who has asked about your work, and what is happening with each of them.

For a small business it does not need to be a big piece of software. It can be a simple shared list or a small database, set up around the tools you already use, such as your email, your diary and your phone.

The point is that a lead is never only in someone's head. Everything is in one place, and a reminder tells you when someone needs a nudge.

Example: A simple lead board

New

  • Boiler service enquiry
  • Quote request from the website

Replied

  • Waiting on a reply to our text

Quote sent

  • Follow up due Tuesday

Booked

  • Visit confirmed

An example layout only. The stages are set up to match how you win work.

What we do

We fit the CRM to the way you already work, not the other way round.

  • Look at the tools you already use

Your email, spreadsheets, diary and accounts. We choose the simplest set-up that fits.

  • Set up stages that match your work

The steps a lead goes through for you, from first contact to booked or lost.

  • Connect your enquiries

Your website form, calls and messages land in the list by themselves.

  • Add follow-up reminders

When a quote has gone quiet or a lead needs a call back, you are told.

  • Bring your existing contacts in

We tidy and import what you have so you do not start from empty.

  • Show you how to use it

A short session and a one-page guide, so it is used and not forgotten.

What you get

  • One list you can trust, instead of notes scattered around
  • Follow-ups that happen, because you are reminded
  • Your old contacts in one place, tidied up
  • A set-up your team will actually use

Who it suits

A good fit if

  • Leads are spread across texts, emails, notebooks and your head
  • Follow-ups slip when you are busy
  • More than one person deals with enquiries

Probably not the right time if

  • You already use a CRM that works. We can connect to it instead of replacing it
  • You get a handful of enquiries a month. A simple list may be all you need

What to expect, and how long it takes

A CRM only works if it is used, so we leave time to try it on real leads.

  1. 1 to 3 days

    Look at your tools

We see what you use today and agree the simplest fit.

  2. 1 to 2 weeks

    Set up and import

Stages, reminders and your existing contacts.

  3. 1 to 2 weeks

    Use it for real

You run live leads through it and we adjust what feels clumsy.

  4. Ongoing

    Small changes

    Tweaks as your work changes.

These are typical ranges, not promises. A tidy contact list moves things along faster.

Questions people ask

Do I have to change the tools I use?
Not unless there is a good reason. We start from what you already have and only suggest something new if it would save you time.
What happens to my existing contacts?
We can bring them in from a spreadsheet or list. We check what you have in the first call and tell you what is realistic.
Who can see my customers' details?
Access is limited to the people agreed for the project. The business remains responsible for its customer data under UK GDPR, and the access and handover arrangement is documented before launch.
